ATTENDANCE PROCEDURES

1.  Teachers maintain class rolls of student absences and record student leave when an acceptable note or certificate is produced. Students circulate notes, doctor’s certificates, excursion forms and have them signed by class teachers then return them to Student Services. Students should make sure that the class roll is updated by the teacher. A medical certificate is required to explain absences during exam and assessment periods.

NOTE:  All notes and certificates are eventually placed on students’ files. These may then be referred to if a student needs consideration due to ill health or family circumstances.

2.  Teachers also record absences on the College Absence Program.  

Record key for absences are:-

L Absent with approval  The school has received an explanation for the absence
A Absent without approval  The school has not received an explanation for the absence
S  Illness  Absence due to an illness, injury or other medical condition
C  Cancelled Class The school cancels a timetabled class

Excursion Attending any excursion organised by the school
P Partial Attendance Student arrived to class late or only attended part of lesson
 Z  Suspended This is a process of withdrawing students from school if their behaviour contravenes   the school’s established Student Management & Welfare Policy & Procedures
W  Work Experience Attending work experience as part of the school program
Alternative Sanctioned Program  Attending an alternative sanctioned program staff are informed when students are expected to be attending these programs (ILPs, music or dance lessons, AIS students, articulated courses, ASBA etc)

3. Extended Leave

Students who wish to take extended leave from college should negotiate with Student Support beforehand for approval. Approval will be given based on student’s previous attendance, the nature of the leave and impact on the college program. An Extended Leave Form is given to the student and class teachers will be asked to comment on the intended leave and to set work to be completed while student is on leave. Leave is granted on the basis of work completed.

 4.  Students who are independent or do not live at home may write their own notes but must bring them to Student Support first to be endorsed before going to class teachers. Student Support should be alerted so that any additional support can be provided.

 5.  Students are expected to submit all assessment items and attend all classes, participate in a positive manner and seek support whenever it is required. Excursions, simulations and presentations by visitors (including lunchtime) may form part of classwork. It is the students responsibility to catch up on missed work when absent from class.

Any student whose attendance falls below the 90% (BSSS requirement) of the scheduled classes/contact time and has not provided substantial documentary evidence to cover the absence will be awarded a V grade. However, the Principal has the right to exercise discretion in special circumstances if satisfactory documentation is supplied.

6.  V-Grades (void grade)
Unexplained absences contribute to the awarding of a V grade:-

  • Three (3) unexplained absences per term = V Grade Warning
  • Six (6) unexplained absences per semester = V Grade Warning 

V grade warnings will be sent out through the mail & parents are encouraged to contact their child’s AG Teacher. Students are then required to talk with their teachers about their attendance and assessment.

Notes over 10 days old will NOT be accepted.
